Typical Translation Process Steps

  • Quote and Order

    Potential clients get in touch with us and give us more information about their needs. We analyse the feasibility and recommend the best solution. During this step, we have an open conversation until all doubts are clear and the final specification is in place. The client confirms the order and the project can start.

  • Project Start and Completion

    Textual PM initiates the project and sees through that the tasks have been delivered in accordance with the agreed specifications. If additional questions arise during translation, or if the linguists have suggestions on how to improve the target version, we will get in touch with you. Our PMs will keep you updated on the progress throughout the process.

  • Delivery

    The local versions are sent to you through agreed channels. These can be target files that you will receive via email or you might be given access to a platform depending on delivery formats. In this step you have a chance to review the delivery. If you are happy with the result, your content is ready to be published. If you would like us to make some changes, just let us know and we can adapt the text as long as the requested changes fall under the scope of the order.

Exemple 1.

Translation of User Manuals

Subject Area: Photo & Video Equipment
Content Type: Technical Manuals

Process Steps: 7


Step 1. Quote and Order

We receive the source files, discuss project requirements and the client places an order.

Step 2. Project Kick-off

The source files are in PDF format which means that PM adapts the workflow to include OCR and DTP processing. After the team is assigned and the timelines are defined, the project can start.

Step 3. Pre-processing: OCR

The first step is to convert the PDF files into an editable format so that translation tools can read it. After this step, the text can be prepared for translation.

Step 4. File Preparation: CAT-tool
PM prepares the files for translation using a translation tool. Glossary and translation memories are added, the instructions have been prepared and the linguists can start translating.
Step 5. Linguists Work on the Project

A. Translators discuss any potential issues with the PM and finalise the translation.

B. PM receives the translated versions, and prepares them for the next step - Bilingual Review.

C. Proofreaders compare the translation with the original source text and make corrections. After the review is done, the PM collects all files, and generates the final versions.

Step 6. Post-processing: DTP
The bilingual files that were used for translation and proofreading are now exported from the tool in the same file format as the originally processed files, for example, as Word files. However, since the goal is to prepare the files for print, a DTP specialist will redesign the layout and make sure that everything is in place for the final delivery.
Step 7. Project Delivery
The client receives the editable source and target files, target files that are ready for print, as well as compiled glossary and translation memories.

Exemple 2.

Transcreation of a Marketing Text

Subject Area: Fashion
Content Type: Marketing campaign for a new collection

Process Steps: 5


Step 1. Quote and Order

We discuss the details and draft a specification. Once the order is confirmed the project can start.

Step 2. Project Kick-off

PM designs the workflow, assembles the linguistic team, compiles the instructions and relevant information, agrees on timelines and delivery formats.
Step 3. Linguists Work on the Project

A. Linguist 1 starts transcreating and communicates any possible doubts and suggestions that are then discussed between the PM and the client. The first draft is delivered to the PM.

B. Linguist 2 is tasked with back translation. After the back translation is done, the client approves the text or requests changes.

C. PM sends the new version with the client's feedback to Linguist 1 and the final suggestions are incorporated.

Step 4. Final Check and QA
After receiving the updated files, the PM performs the final review and delivers the local version to the client.
Step 5. Project Delivery
The client receives the files in previously agreed formats.

Localization of Newsletters

Content Type: Marketing, Newsletters

Step 1. Quote and Order

This is a regular project for the client that also uses Textual’s platform for text generation. We agreed on a process where the newsletter content follows the introduction of new products on the client’s online store.

Step 2. Project Kick-off

The newsletters are translated twice per week. After the product descriptions are prepared using Textual platform for automated text generation the client provides us with the source text of the upcoming newsletters. Since the product texts are translated first, we use the same terminology to make sure that the newsletters and products are in line with each other.
Step 3. File Preparation: CAT-tool
PM prepares the content for translation and contacts the team. To preserve the same tone of voice throughout the year, the newsletters are localized by the same linguists who are previously trained and provided with style guides and references.
Step 4. Linguists Work on the Project
The linguists start localizing the content and communicate with the PM if any questions pop up. They also offer suggestions and add explanations if the target version differs a lot from the original.
Step 5. Project Delivery
After agreed time the local versions are available for the client immediately since the localization is performed in a shared environment.
